I write with a pen because that’s how I think. Then I spend way too long getting any of it into Obsidian. Scan, export, paste, clean up, hope search finds it later. I’ve bailed on three versions of that pipeline.
So I wrote down every place it breaks for me — twelve of them — plus what I do inside the vault instead. This post is the whole workflow.
How this maps to Obsidian
- Vault = the place that counts. Phone notepad / paper / notebook apps are capture, not the library.
- Working note = a normal
.mdnote: title, one sentence in your words, a couple of[[wikilinks]]to notes you already have. That’s what search and the graph can use. - Scan/PDF embeds are archive unless you also make that tiny typed note. Search will not save you.
- Daily note (or one Inbox note) is the meet-up spot for phone dumps and pen pages. One pass. Same day or same week.
- No second-device heroics. If finishing needs a laptop evening, it’s not part of the system.
The 12 places (tick what stings)
1. The notebook that never lets go
Notes live as pages in a pad or notebook app. Fine for writing. They stay pages forever.
In Obsidian: treat the pad as capture. If you might want it next month, make a vault note on purpose.
2. It’s “saved”… as a dead file
PDF/scan is in the vault. Search can’t read a word. You’re storing pictures of notes.
In Obsidian: call embeds archive. For anything still alive, add a tiny typed note (title + one sentence). That line is what search holds.
3. Linking only works for stuff you typed
Handwriting can’t [[link]] and nothing links back. It’s parked next to the graph.
In Obsidian: when a page matters, 30 seconds — two [[links]] from the tiny typed note to notes you already have.
4. The copy-paste slog
Open → copy as text → new note → paste → clean → repeat until you quit.
In Obsidian: hard limit (one important page a day) or drop the slog for a week and see what you actually miss.
5. Scan-to-text that flakes out
Neat pages maybe. Meeting scribbles / arrows / diagrams? You stop trusting the bridge.
In Obsidian: don’t bet on perfect conversion. Photo embed + one-line typed title beats a broken transcript you never open.
6. It only works when you’re at a laptop
The “system” needs another device to finish, so notes wait at a desk and die there.
In Obsidian: path must end on the device you wrote on. Ugly and done beats clever and stranded.
7. Phone pile and pen pile never meet
Two capture habits, no ritual that merges them, nothing compounds.
In Obsidian: one review pile — daily note or a single Inbox note. Same day/week pass for phone + pen into the vault.
8. One meeting, five apps
Handwritten notes + whiteboard photo + slides + email. Meeting has no home.
In Obsidian: one meeting note in the vault that points at the pieces. Not a merge. An address.
9. The thought dies between places
Walking / meeting / wrong tool → “I’ll jot it later” → you don’t.
In Obsidian: pick ugly capture ahead of time and empty that ugly inbox into the vault on a schedule.
10. Clever automations you don’t trust
Shortcuts / plugins / sync break once. You stop believing them.
In Obsidian: dumb three-step path you can finish half-asleep. Automate only after you’ve kept that path without the fancy layer.
11. “I’ll sort it this weekend”
Pile grows because bulk scan/export/paste is too expensive, so later always wins.
In Obsidian: no big cleanup day. Per-page cost = one typed line same day so there’s no pile.
12. You quit maintaining the bridge
Middle costs too many evenings. You still pay for tools. Ideas still die in between.
In Obsidian: cap it (e.g. 20 minutes, twice a week). Delete steps until it fits.
What the ticks mean
A couple: normal — fix the loudest leak.
A handful: classic dual-stack mess — start with one inbox meet-up + tiny typed notes.
Most of them: stop buying another app. You need fewer unpaid steps between pen and vault.
The small escape hatch (keep this, drop the rest)
- One place that counts: the vault.
- Capture can be ugly. Closest tool wins in the moment.
- Same day, for anything you’d hate to lose: tiny typed note — title, one sentence, two
[[links]]. - One meet-up ritual for phone + pen (daily note works).
- No second-device heroics.
- Pictures of notes are archive. Working notes need something search can find.
Example
Say you filled a paper page about a product idea after a call.
- Open daily note (or Inbox).
- New note:
2026-08-15 Call — pricing fear. - Body: one sentence in your words.
- Add
[[Pricing]]and[[Competitor X]](or whatever already exists). - Optional: embed the page photo under
Archive scan— for your eyes, not for search. - Stop. Do not “process the whole notebook.”
That’s the hatch.
